Who we are
Australian Menopause Institute (AMI) is a registered business name, ABN 46 706 522 613. In this policy, “we” and “us” means AMI. It covers this website, Max (the AI assistant on this site), the Voice of Australian Women survey and our register-interest form.
Questions or requests about your information: theamihq@gmail.com
When you visit the website
Our website is hosted by Cloudflare. Like any web host, Cloudflare processes technical details such as your IP address, browser type and the pages you request, so it can deliver the site and protect it from misuse. The site also loads its fonts from Google Fonts, which receives your IP address when the fonts load.
We don’t use advertising cookies, tracking pixels or analytics that follow you across other websites.
When you talk to Max
Max is an AI assistant, not a person, and gives general information, not medical advice. To answer you, the message you type, along with the last few messages of your conversation so Max can follow on, is sent to OpenAI, an AI provider in the United States, which generates the reply.
- Our own logs record that a message was handled, but not what you wrote.
- We ask OpenAI not to store conversations, and OpenAI doesn’t use them to train its models. OpenAI may keep messages for up to 30 days to check for misuse, then deletes them.
- Max keeps your conversation and a random session code in your browser tab, so the chat can continue as you move between pages. Both are deleted when you close the tab. We don’t keep a copy.
- If you choose “Save chat”, the conversation is downloaded to your own device. It isn’t sent to us.
- We use your IP address briefly to limit how many messages can be sent each minute, which protects the service.
Please don’t type your name, contact details or anything that identifies you or someone else into Max.
When you take the Voice of Australian Women survey
The survey asks about your experience of perimenopause, menopause and menopause care, including your symptoms and health. This is health information, which the law treats as sensitive, so we only collect it with your consent, which you give at the start of the survey. Taking part is optional and you can stop at any time.
- The survey doesn’t ask for your name or contact details. Please don’t include them in your written answers.
- The survey runs on Tally, a form service based in Belgium. Your answers are stored on Tally’s servers in Europe.
- We use the answers to understand women’s experiences and to shape AMI’s education, resources and advocacy. We may publish combined findings and short quotes that don’t identify anyone.
When you register your interest
If you register interest in our courses or membership, we collect the details you give us, such as your name, email address and professional information. We use them to contact you about AMI’s courses and membership. You can ask us to stop at any time. This form also runs on Tally and is stored in Europe.
Who we share information with
We don’t sell or rent your personal information. We only share it with the service providers named above (Cloudflare, Google Fonts, OpenAI and Tally) so they can run the site and its features for us, or where the law requires it. Some of them are outside Australia, in the United States and Europe.
How long we keep it, and keeping it safe
We keep information only as long as we need it for the purposes above, and we use reputable providers that encrypt information in transit and at rest. No online service can promise perfect security, which is one more reason not to share identifying details with Max.
Your choices
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing theamihq@gmail.com. Because the survey is anonymous, we may not be able to find an individual set of answers.
If you have a privacy concern, please contact us first and we’ll respond within 30 days. If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
We’ll update this page as AMI grows, for example when member accounts open. The date at the top shows when it last changed.
